What to Do When Your Printer Won’t Print

Printers are essential devices in any office or home, but when they suddenly stop working, it can be frustrating. Fortunately, most printer issues are simple to resolve. Follow these easy steps to troubleshoot your printer and get it back to working order.

1. Check the Printer’s Power and Connections

  • Power Supply: First, ensure that the printer is powered on. Look for the power light on the printer. If it’s off, check if the power cable is properly plugged in and the outlet is working.
  • Cable Connections: If you’re using a wired printer, make sure the USB or Ethernet cable is securely connected to both the printer and the computer. For wireless printers, check your Wi-Fi connection.

2. Check Printer Ink or Toner

  • Ink/Toner Levels: Sometimes, printers won’t print if they’re low on ink or toner. Open the printer’s cartridge area and check the levels. Replace any empty or low cartridges.
  • Paper Jam: Check if there is a paper jam by inspecting the paper tray, printer rollers, and exit area. Remove any jammed paper carefully.

3. Make Sure There’s Paper in the Tray

  • Paper Tray: Ensure there’s enough paper in the tray and that the paper is properly aligned. If the paper is loaded incorrectly, it may cause a printing issue.

4. Check Printer Status on Your Computer

  • Queue and Status: Go to your computer and check the printer queue. If there are pending print jobs, try canceling them and printing again.
    • Windows: Go to Control Panel > Devices and Printers. Right-click the printer and select See what’s printing to view the queue.
    • Mac: Go to System Preferences > Printers & Scanners, select your printer, and check for any stuck print jobs.

5. Restart the Printer and Computer

  • Sometimes, a simple restart can fix the problem. Turn off the printer, wait a few seconds, and turn it back on. Do the same with your computer to ensure there’s no software glitch affecting the connection.

6. Update Printer Drivers

  • Outdated Drivers: If your printer isn’t printing, it may be due to outdated drivers. Visit the printer manufacturer’s website and download the latest drivers for your model. Follow the instructions to install them.

7. Run the Printer Troubleshooter (Windows)

  • Windows has a built-in troubleshooter to help detect and resolve printer issues. To use it:
    • Go to Settings > Update & Security > Troubleshoot.
    • Select Printer and follow the on-screen instructions.

8. Check for Wireless Network Issues (If Applicable)

  • Wi-Fi Connection: For wireless printers, make sure the printer is connected to the same Wi-Fi network as your computer. If it’s not, reconnect the printer to the correct network through the printer’s settings menu.
  • Restart Router: If the printer is having trouble connecting, restarting the router may help restore the network connection.

9. Reset the Printer

  • Factory Reset: If all else fails, you can try resetting the printer to its factory settings. Look for the reset option in your printer’s settings menu, or consult the printer’s manual for instructions on how to do this.
